PERSONAL ASSISTANT TO PUBLIC AFFAIRS & COMMUNICATIONS DIRECTOR AND TEAM

We are looking for a talented and pro-active :

PERSONAL ASSISTANT TO PUBLIC AFFAIRS & COMMUNICATIONS DIRECTOR AND TEAM

5 months Fixed-term contract starting in October 2019 and based in Issy-les-Moulineaux, France

The core job responsibility is to:

  • Operate as a key member of the team and, using initiative and a positive ‘can do' attitude, assisting the PAC director and his team with a variety of administrative duties to ensure a smooth running of the team

Reports to France PAC Director and works closely with:

  • Other Personal Assistants
  • Western Europe BU PAC team
  • And more broadly with the whole PAC function

Main tasks are to:

  • Manage proactively the France PAC Director diary, responding to meeting requests from internal and external parties in a way that best optimizes the allocation of his time. Requires constant changes, prioritization and flexibility
  • Manage the team calendars (meetings, vacations, seminars) allocating meetings' leader role when appropriate
  • Coordinate meetings and other ad'hoc team events (seminar, team-building, virtual meetings, live meetings, also with the bottler PAC team)
  • Review and monitor budgets, in close coordination with the Finance team, proactively ask for budget review to the PAC managers and communicate status to the PAC Director
  • Perform SAP tasks including creation of purchase orders, entering of goods receipts, creation of new vendors, change of vendor's details, request for urgent payment, intercompany transfers, etc.
  • Compile, edit and proof-read presentations, correspondence and reports
  • Arrange international and domestic travels and put together travel itineraries
  • Process expenses in a timely manner
  • Provide assistance for visiting members
  • Screen, handle and redirect all internal and external requests in an appropriate and timely manner, drafting of correspondence and follow up on requests, etc.
  • SAP tasks including raising of purchase orders/entering goods receipts/ creating new vendors/changing vendor details/urgent payment requests/intercompany transfers etc.
  • Coordinate ad hoc project work and other tasks as required
  • Provide cover for other France PAs during holidays and sick leave

Key skills required:

  • Excellent written and verbal communication skills in French and English (written and oral)
  • Planning and organizing skills
  • Ability to lead budget and expenses with associated tools (SAP)
  • Advanced level of Microsoft word, Excel and PowerPoint
  • Ability to work unsupervised and on own initiative (proactive)
  • Good interpersonal and networking skills
  • Commitment to team work
  • Keen attention to detail
  • Diplomacy/discretion to deal with sensitive/confidential matters
  • Ability to work under pressure, with a flexible and ‘can do' attitude to deal with changing priorities

Background

  • Bachelor's degree or University (Preferred)
  • Minimum of 2 years' experience at similar level
  • Worked in an international environment with complex and multi-market organizations
