Consultant, HR Compliance
Please note: The selected candidate will need to be based in Shanghai, China. This is an Individual Contributor position.
The Consultant, HR Compliance, plays a crucial role in ensuring adherence to global regulations and company policies across multiple countries and regions. This position is responsible for managing HR employment compliance and documentation processes, coordinating efforts for both corporate and statutory audits, and supporting the Quality and Governance framework. Additionally, this role involves coordinating with local authorities globally as needed for these processes.
Functional Related Activities/ Key Responsibilities:
Onboarding Session:

Conduct onboarding sessions for new hires and mobility transfers ensuring a smooth and welcoming introduction to the company

Ensure all onboarding documentation is accurately completed and securely maintained in compliance with legal standards.

Collaborate with other teams to ensure the onboarding process is seamless and engaging.
Employee Records Management:
-
Provide support on Employee Records Management: collection and administration of physical and/or digital personnel files and records in accordance with filing/archiving standards as well as local regulatory and legal requirements for access and audit purposes

Create and maintain employee records tracker to ensure accuracy of employee records filing and documentation

Create and archive HR files in accordance with local legal regulations, and ensure a classification and identification process for access for auditing purposes as needed

Report any identified issues and gaps as they arise

Protect employee information and documents with utmost confidentiality
Employment Related Compliance Tasks:
-
Oversee HR employment related compliance operations across multiple countries and regions, ensuring alignment with global regulations and adherence to company policies.

Ensure preparation and submission of statutory reports to government agencies for compliance, as needed
-
Assist Quality and Governance processes by providing necessary documents and information for corporate and statutory audits worldwide.

Provide local language support for verification and visa letters, as well as other HR-related documentation as needed.
Other Administrative Tasks:
-
Coordinate the wet signatures and stamping for contracts and other HR-related documents, adhering to the designated signing authorities in each country of support.

Other relevant administrative tasks that may be assigned by the direct leader
What We’re Looking For:
-
University/Bachelor´s Degree holder in Human Resources / Social Sciences or a related field or equivalent related work experience
-
1-2 years of professional experience in HR administration/generalist roles
-
Exposure beyond the GCM region
-
Good English Communication Skills
-
Proficiency in Japanese language is a plus
-
Basic knowledge of employee life cycle in a multi-country environment is a plus
-
Knowledge in Workday, Microsoft Apps, and Document Management is a plus
-
Organized and results-oriented
-
Proactively works and requires minimum supervision
