Warehouse Operator
A. JOB SUMMARY:
- The warehouse operator is responsible for ensuring that they are in compliance to the warehouse processes as they execute the day-to-day activities through adherence to all warehouse procedures, Kore requirements, ISO standards, CAD requirements and safety requirements.
- Ensure that GMP standards are being followed and self-assessment completed as er requirements.
- The warehouse operator tasks involve preparing all customer orders as per weekly schedule which is Pick, pack, label pallets, shrink-wrap and load orders. Receiving materials from customers: inspect, segregate, receive, label, sample and put away to location.
- The warehouse operator is responsible for ensuring that all inventories are correctly, properly stored and effectively updated in SAP during the order preparation process, labeling and storage of materials received into the plant.
- To work collaboratively with the production stakeholders through:
- Ensuring that inventory is effectively retrieved from production and stored in the correct warehouse storage location.
- Materials are supplied to production according to the released warehouse tasks.
- Develop relationships with both internal and external stakeholders to drive effective collaboration and efficiencies in the warehouse activities: Departments such as production, customer services and transporters etc.
- Reporting to the Warehouse Team Leader all issues related to inventory and downtime.
- Reporting all inventory inaccuracy issues to the cycle counter for correction.
- Responsibility of the warehouse operator to be part of the digital journey; that is, learn and use the operational Excellence principles.
B. KEY DUTIES/RESPONSIBILITIES:
CUSTOMER ORDER PREPARATION:
- All customer orders using WMRF scanner according to the weekly shipping schedule and requested schedule changes.
- All orders must be prepared according to the order preparation procedure to avoid customer complaints.
- Ensure all customer orders are prepared on time as per the agreed times on the weekly shipping schedule to avoid late shipments.
- Pack, Label, shrink-wrap and scan during loading all pallets containing products to be shipped out as per the Order shipping procedure.
INVENTORY PUT AWAY FROM PRODUCTION:
- Ensure all inventory from production is counted and reconciled with the production operator at the end of the production batch manufactured.
- Ensure all inventory from production is retrieved, shrink wrapped and stored in correct storage location.
- To ensure all inventories are stacked and drawn to and from the warehouse on a first expiry, first out basis (FEFO Method) as per the task’s instruction sent by the scanners.
RECEIVING ACTIVITIES:
- Ensure transporters meet Coca-Cola required standards for transportation of incoming inventory.
- Carry out incoming inspection of all inventory received from suppliers as per the company incoming inspection requirements
- Off load all incoming inventory items and general goods as per the off-loading weekly delivery instruction.
- To ensure all incoming inventory is counted, reconciled to the purchasing document, labeled and sampled within the sop stipulated time to avoid any manufacturing delays.
- To ensure all inventories are stacked and drawn to and from the warehouse on a first Expiry, first out basis (FEFO Method) which helps us comply with inventory accuracy policy and inventory shelf life.
- Store and stack merchandise, ingredients and packaging in the ambient and cold storage areas, in accordance with the company standards. Effectively manage and control the use of the warehouse space availability.
- Effective and continuous updating of the SAP system once inventory has been transferred from one location to another.
- Ensure that all security seals in the ambient and cold storage are in accordance with the company regulations. All fractions must be always sealed, received merchandise and ingredient packages must have company identifiable seals.
- Effectively carry out sampling and storage policies as per the food safety requirements
PRODUCTION SUPPLY:
- Responsible for supplying production with ingredients from the warehouse as per the supplied WO’s in RF scanners.
- Ensure all Production WO’s are picked and counted on time to avoid production delays which might result in overtime.
- Effectively, timely and continuous updating of the SAP system once inventory has been transferred from Warehouse location to PSA location and Back to Warehouse location after manufacturing
- Ensure all inventory from production is retrieved, counted, shrink wrapped and stored in correct storage location.
- Accurately count all ingredient fraction return to the warehouse by production after manufacturing.
INVENTORY MANAGEMENT, GMP, SAFETY PRACTICES AND PRODUCTIVITY:
- Perform cycle counts as and when requested by the cycle counter to maintain high inventory accuracy
- Report all inventory inaccuracies to the Cycle counter and Warehouse Team Leader as soon as you identify them for correction
- Ensure all items retrieved in the warehouse are updated timely in SAP to reflect the correct Quantity and locations.
- Perform good manufacturing practices (GMP) tasks daily, according to the established check list, to conform to the required GMP and security requirements.
- To check and ensure that cold room doors, distribution doors and roller shutters are kept closed all the time.
- Always supervise your area of responsibility after work before you leave the plant.
- Ensure that all equipment / machinery used are switched off when not in use and keep them clean. Report all faults occurring on any machinery to the Warehouse Team Leader to report to central services via works order.
- To be involved in basic equipment maintenance such as ensuring batteries have enough water etc.
- To carry out fork truck inspection and complete form daily
- Always wear protective equipment where applicable during working hours and ensure that safety guidelines are always followed. Report and document any safety related issues and ensure the safety representative and department manager address them.
- You must be always audit ready and compliant
- Complete all OE OSE forms correctly daily and investigate any issues impacting productivity.
- Take part in company projects, Standardization, 6S and corrective action initiatives aimed at increasing productivity.
- Ensure transporters meet Coca-Cola required standards for transportation of concentrate.
- You must be prepared to perform any other duties as may reasonably be required of you within the department and other departments, to ensure the department and company policies and procedures as instructed by the department manager, or his/her designee are achieved.
COMPLIANCE & GOVERNANCE:
- Ensure that all activities are carried out in a way supporting the company requirements such as KORE, SOX, Quality, Food safety, Environmental and Safety standards and all other local/system/international applicable requirements and regulations.
ENVIRONMENTAL MANAGEMENT, OCCUPATIONAL HEALTH & SAFETY, AND FOOD SAFETY & QUALITY:
- Cooperate and follow instructions given by the employer, Commissioner of Labor, Inspector or any other person lawfully authorized to give such instructions in keeping the working conditions safe and without risk to health and injury in the field of that activity.
- Use, any means, appliance, equipment or other safety devise for securing safety and health as provided by the employer for use and protection of the employee or property in any process and as per the instructions given by the employer or any person lawfully authorized to do so.
- Report to your manager any situation as soon as it becomes unsafe or unhealthy, or where an accident occurs report such accident to the employer or supervisor responsible for maintaining a high EOHS (Environment Occupational Health and Safety) standard to protect their own health and safety and that of others.
- Ensure adherence to environmental management, occupational health and safety, food safety and quality procedures, work instructions, and work aids and not compromise the environment, occupational health and safety, food safety and quality.
- Report all environmental, occupational health and safety, food safety and quality related hazards, unsafe acts, unsafe conditions, and incidents to their immediate supervisor without delay.
OPERATIONAL EXCELLENCE:
- Ensure operational excellence approach is embedded and drive improvements of processes for the plant and Business units
C. FINANCIAL/ JOB SCOPE:
- Volume: Approx. (4.0MM SUN, 15MM PDR).
- Inventory ($): Average inventory value 35 MM USD.
- # Brands/Products: over 252 different products formulas.
- # Product Launches Annually: 80 – 100 products.
- # Bottlers (Customers) Managed: supplied to over 50 customers in over 20 countries.
- Ensure product is handled correctly to avoid Product Defect Rate increase.
- Plan daily work to avoid unscheduled unnecessary overtime.
D. ORGANIZATION IMPACT/ INFLUENCE:
Internally the position requires interaction with several key stakeholders including Production Department, Engineering Department, Process Quality Department, Customer Management Department or Materials Operations Department, Operational Excellence & Digital Transformation Department, Finance Department, Transport Logistics Department, and the Quality Safety & Environment Department. Nature of the contact includes daily process operations and inbound or outbound schedules performance.
E. SUPERVISORY RESPONSIBILITIES:
The role requires leadership and influential skills to drive warehouse teams and influence cross functionally to ensure delivery of planned work in a safety manner and full compliance to standards.

Type of prev. work experience required:
- Minimum 1 years’ experience in a warehouse or production environment preferably in food manufacturing.

- This role requires an analysis of customer needs and business requirements.
- Analysis during order preparation i.e. Picking correct product/batch, accurate packing of pallets, pallet building to fit container requirements to maximize container space to avoid additional costs and correct loading to avoid damages and incorrect product issues.
- Analysis of preparing production requirements i.e. Picking inventory for manufacturing in production
- Damages to materials during the warehouse process steps.

K. WORKING CONDITIONS:
- This role is mainly mobile between warehouse inbound/outbound and office or workstation.
- There is a strong safety program in place.
- Exposures to hazard is possible but this is managed through detailed safety programs/policies.
- Possible travel to countries facing social and political instability, and others with health and safety issues.
- Extended working hours during weekdays including working during weekends whenever there is a business need.
- Requires strict adherence to appropriate GMP, Quality and Safety standards.
- Able-bodied to climb steps, drive a forklift and pick up various kind of material as required.
