Outbound Traffic Specialist

Basic Function:

Execute traffic functions with maritime/air lines and carriers, local trucking companies, internal departments and external agencies to assure each shipment is dispatched on time and in compliance with the global transportation standards. Responsible to assure shipments documentation and cargo follow the Company policies/procedures and the transportation regulations mode requirements (DOT, IATA and IMDG).

Essential Functions:

  • Daily confirm customer orders and STO through the e-mail to initiate the documentation process for domestic and international shipments preparation.
  • Communicate and coordinate via phone and/or e-mail, shipments details with Customer Service Representatives, Supply Management and Central Distribution Centers (CDC) contacts.
  • Confirm bookings/reservations with different carriers to assure customer orders and/or STO’s shipments delivery on time, following the CPS Global Transportation guidelines. Validate and communicate special cargo preparation requests from carriers.
  • Coordinate local inland carriers service to assure on time delivery of equipment according the transportation mode.
  • Prepare all traffic documentation (Bill of Lading/Air Waybills, IMO/IATA Declarations, VGM Certifications, profoma invoices, SED declarations, etc.) to meet the requirements of each country we do business with and in compliance with the regulations of the International Maritime Code, the Department of Transportation and IATA. Sign shipping manifestos and other related documents for dispatch containers and loads in compliance with local procedures and regulations.
  • Coordinate booking and prepare shipping papers for the empty tanks returns, Wash Lemon Oil and empty SS containers return for Flavor Manufacturing.
  • Support the Environmental Team to coordinate traffic and documentation preparation for waste disposal transportation. Confirm shipment details for disposal completion and support on follow up shipments.
  • Communicate instructions for preparing  special  shipments as per regulations and/or carriers requirements. Prepare required labels and confirm shipping instructions for labeling, marking and pallets configuration. Assure cargo is conditioned properly to avoid detentions and/or delays in transit.
  • Evaluate hazardous materials shipping papers descriptions with the SDS as required. Complete and document CAPA notifications assigned.\Review shipping papers declarations of hazardous materials according the applicable regulations. Consult Regulatory, Corporate Legal personnel and/or external consultant if needed.
  • Report and handle deviations on SAP Master Data vs SDS’s with corresponding teams (IST, Global SAP global support, Regulatory, Customer Service). Assure discrepancies corrections, document process flow and compliance with transportation regulations.
  • Submit the EEI (Electronic Export Information) for every shipment exceeding a value of $2,500 to comply with the FTSR (Foreign Trade Statistics Regulations), also known as CFR 15-Part 30. Consolidate, prepare and deliver EDI transmission as per requirements. Perform testing as requested.
  • Prepare and confirm weekly Shipments Visibility Reports to assure containers visibility in transit from Caribbean Refrescos, Inc. to the CDC’s. Assist Transportation and CDC’s teams to expedite on containers planning and delivery. Provide information to cross docking services and carriers as requested. Escalate deviations to minimize impact to the supply chain.
  • Execute traffic arrangements for dispatch return to vendors and ingredients transfers to other plants. Work closely with Procurement Planning to assure compliance on goods transportation and required documentation declarations to avoid custom clearance delays.
  • Maintain traffic documentation and record keeping in compliance with company policies and procedures as per the “Document Retention” policy.
  • Work with KORE requirements and other Company guidelines to create and update traffic procedures, standard working instructions and other controlled documents. Execute periodic reviews at ETQ upon required.
  • Assist Logistics Management on internal/external audits and traceability.
  • Prepare and send system reports (In Transit Consolidation Report) for Thomson Group to facilitate CRI orders preparation on Canadian shipments.
  • Print and verify Canada Custom Invoices for EDI transmission including BOL’s in a weekly basis to facilitate Canadian shipments clearance and delivery. Alert Customer Service on invoices price failures and arrange corrections.
  • Participate and lead OE activities that contributes toward the continuous improvement in Logistic operational areas (DMAIC, 5’s, workplace audit, T-Cards, I-Cards, Big C, Tip Plan, Communication Center, etc.).
  • Participates in regulatory and compliance training and/or sharing of knowledge with internal or external Company associates as requested.
  • Support all initiatives that encourage improvement in all environmental, occupational safety, quality and food safety aspects of the processes and work environment to reduce human errors.

Requirements:

Education:      Bachelor Degree, preferably in Supply Chain and/or Material Management. Fully Bilingual (EnglishSpanish).

Experience: Five or more years of experience in Traffic, Shipping, and/or Logistic functions. Experience working with maritime/air lines and inland carriers, forwarders and brokers. Experienced with SAP systems and Microsoft programs. Knowledge and experience with the FTSR (Foreign Trade Statistics Regulations) reports and the domestic regulations a rule (CFR-49). Up to date DOT, IMDG, IATA courses and certifications.
