Executive Assistant

Position Overview

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support the Vice President of Franchise Operations for the West, Islands & Mid-Africa (WIMA) region. This role is critical in ensuring the smooth operation of the VP’s office and supporting the broader team through expert coordination, communication, and administrative management.

Key Responsibilities

  • Manage the VP’s calendar, meetings, and communications with autonomy and precision.
  • Coordinate domestic and international travel, accommodation, and itineraries.
  • Organize logistics for team events, conferences, and special engagements.
  • Prepare, edit, and distribute presentations, reports, and correspondence.
  • Liaise effectively with senior executives, internal teams, and external stakeholders.
  • Support budget administration and reporting, including processing expenses and purchase orders.
  • Assist with onboarding and offboarding processes for associates.
  • Handle incoming calls and prioritize internal and external information flow.
  • Lead or support ad hoc projects and initiatives as directed by the VP.

Qualifications & Experience

  • Minimum of 5 years’ experience in a similar executive support role.
  • Diploma in Secretarial Studies or Business Administration.
  • Experience supporting senior executives in a dynamic, multicultural environment.
  • Prior experience in a multinational environment is a plus.
  • Bilingual i.e Fluency in English and French.

Key Skills

  • Advanced proficiency in Microsoft Office Suite (Word, PowerPoint, Excel).
  • Exceptional organizational and time management skills, with the ability to manage multiple priorities.
  • Strong written and verbal communication skills, including professional email and document drafting.
  • Discretion and confidentiality in handling sensitive information.
  • Problem-solving mindset with the ability to work independently and anticipate needs.
  • Interpersonal skills to build relationships across all levels of the organization.
  • Attention to detail and a commitment to delivering high-quality work.
  • Budget tracking and expense management experience is a plus.
