Executive Assistant
Position Overview
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support the Vice President of Franchise Operations for the West, Islands & Mid-Africa (WIMA) region. This role is critical in ensuring the smooth operation of the VP’s office and supporting the broader team through expert coordination, communication, and administrative management.
Key Responsibilities
- Manage the VP’s calendar, meetings, and communications with autonomy and precision.
- Coordinate domestic and international travel, accommodation, and itineraries.
- Organize logistics for team events, conferences, and special engagements.
- Prepare, edit, and distribute presentations, reports, and correspondence.
- Liaise effectively with senior executives, internal teams, and external stakeholders.
- Support budget administration and reporting, including processing expenses and purchase orders.
- Assist with onboarding and offboarding processes for associates.
- Handle incoming calls and prioritize internal and external information flow.
- Lead or support ad hoc projects and initiatives as directed by the VP.
Qualifications & Experience
- Minimum of 5 years’ experience in a similar executive support role.
- Diploma in Secretarial Studies or Business Administration.
- Experience supporting senior executives in a dynamic, multicultural environment.
- Prior experience in a multinational environment is a plus.
- Bilingual i.e Fluency in English and French.
Key Skills
- Advanced proficiency in Microsoft Office Suite (Word, PowerPoint, Excel).
- Exceptional organizational and time management skills, with the ability to manage multiple priorities.
- Strong written and verbal communication skills, including professional email and document drafting.
- Discretion and confidentiality in handling sensitive information.
- Problem-solving mindset with the ability to work independently and anticipate needs.
- Interpersonal skills to build relationships across all levels of the organization.
- Attention to detail and a commitment to delivering high-quality work.
- Budget tracking and expense management experience is a plus.
